Who we are & what this covers

In this policy, “the trust”, “we” and “us” mean Samyakgyan Prachar-Prasar Trust, a charitable trust registered in Jaipur, Rajasthan, India (Reg. No. 09/JAIPUR/2022). For personal data collected through this website, the trust is the Data Fiduciary under India’s Digital Personal Data Protection Act, 2023 (DPDP Act). “You” means anyone who visits the website, fills in a form, or has an account on it.

This policy covers sgpt.in — its pages, forms, blog and the writers’ panel at sgpt.in/admin. The trust’s separate services have their own notices, which apply when you use them: the Academy (academy.sgpt.in), the Career Path counselling portal (career.sgpt.in), Patrika (patrika.sgpt.in), the E-Library and the donation portal (donate.sgpt.in).

We follow the DPDP Act, 2023 and the rules made under it, and the Information Technology Act, 2000 with its rules on reasonable security practices.

What we collect

We collect only what you choose to give us, and what is needed to run the site safely.

When you fill in a form

• Contact details: your name, email address, phone number and city.
• What the form asks for: your topic and message; for applications, details such as your course, institution, area of study, the dates or duration you need, your skills or portfolio link (internships), or the organisation inviting us (Institutional Teaching).
• For Kanth Path, the applicant’s age and a parent’s or guardian’s name — see “Children” below.
• For course registration, on a separate form at form.sgpt.in: your father’s or husband’s name, gender, date of birth, address, current status and any earlier study of the subject, which the trust uses to run the course and prepare certificates, and a record of your payment.
• For episode alerts, only your email address.

Some programmes ask for documents later — for example, a photo ID when a Free Accommodation place is confirmed. Those are requested directly by the trust, used only to administer that programme, and are not collected through this website.

If you have a writer’s or editor’s account

• Your name, email address and password. The password is stored only as a one-way hash — no one at the trust can read it.
• Your author profile (name, biography, photo and links), which is published with your posts.
• Sign-in records — the date, your browser and device, and your IP address — kept to secure your account.

Automatically

• With each form entry: the browser type, and a one-way scrambled form of your IP address (not the address itself), used only to stop spam and repeated abuse.
• Visit statistics through Cloudflare Web Analytics — see “Cookies & analytics”. These do not identify you.

We do not take payments on this website, and we do not ask for bank, card, Aadhaar or other sensitive financial or identity numbers through it.

How we use it, and our lawful basis

We use personal data only for the purpose you gave it for:

• to reply to your enquiry and pass it to the right person at the trust;
• to consider and administer your application — workshops, Educational Financial Assistance, Free Accommodation, internships, Kanth Path, Institutional Teaching invitations;
• to keep you informed about the application or programme you are part of;
• to send episode alerts, if you asked for them;
• to run writers’ accounts and publish the posts and author profiles you submit;
• to keep the website secure and to stop spam and misuse; and
• to meet our legal, accounting and regulatory duties as a registered charitable trust.

Our lawful basis is your consent, which you give when you submit a form or create an account, and, where the law allows, our legitimate uses under section 7 of the DPDP Act — for example, keeping records the law requires us to keep. You may withdraw your consent at any time (see “Your rights”); this does not affect what was done before you withdrew it.

We do not sell, rent or trade personal data, we do not use it for advertising, and we do not send bulk promotional email.

Emails we send

Automatic messages — an acknowledgement of your form, account and password emails, notices about your posts — come from no-reply@sgpt.in; replies written by our staff come from info@sgpt.in. A reply to any of them reaches info@sgpt.in. We keep a record of the emails we send (recipient, subject and text) so that we can answer questions about them and resend a message that did not arrive.

Cookies & analytics

The public pages of sgpt.in set no cookies of their own. To understand which pages are useful, we use Cloudflare Web Analytics, which sets no cookies and does not identify you: it counts visits in aggregate — the page, the site you came from, your country and the type of device — and does not follow you across other websites.

The writers’ panel (sgpt.in/admin) uses one essential cookie to keep you signed in. It is needed for the panel to work and is not used for anything else.

Who we share it with

We share personal data only:

• with trustees, staff and authorised volunteers who need it to act on your request;
• with the service providers that run the website for us, under contract and only to provide that service (listed below);
• when the law requires it — a court order or a lawful request from a government authority; and
• to protect the safety and rights of the trust, the people we serve, or others.

Our service providers

• Vercel — hosts the website (servers in Mumbai, with a worldwide delivery network).
• Supabase — stores the website’s database (Mumbai, India).
• Cloudflare — stores uploaded images and files, runs our domain name, and provides the cookieless visit statistics.
• Hostinger — our email service.
• Zoho — runs our course registration form at form.sgpt.in. Course fees are paid there through a payment gateway, and your card, UPI or bank details never reach us.

Some of these providers are based outside India and may process data on servers abroad. We use only providers bound to protect it, and we do not transfer personal data to any country the Government of India restricts under the DPDP Act.

How long we keep it

• Enquiries and applications: while the matter is open, and for up to three years after it is closed, so that we can answer follow-up questions; then deleted.
• Episode alerts: until you unsubscribe or ask us to remove you.
• Writers’ accounts: while the account is active. Published posts stay published under the author’s name unless you ask us to remove them.
• Email records: up to three years.
• Anything the law requires us to keep (for example, records needed for our accounts as a charitable trust): for as long as the law requires.

How we protect it

The website is served only over an encrypted (HTTPS) connection. Personal data is kept in a password-protected database with no public interface, in a section that only this website’s own login can open; access to entries in the trust’s panel is limited by role to the people who need it; passwords are stored as one-way hashes; and file storage is separated so that each of the trust’s services can reach only its own files.

No system is perfectly secure. If a personal data breach occurs, we will inform the people affected and the Data Protection Board of India as the DPDP Act and its rules require.

Your rights

Under the DPDP Act you may ask us, at any time and free of charge:

• for a summary of the personal data we hold about you and how we use it;
• to correct, complete or update it;
• to erase it, unless the law requires us to keep it;
• to withdraw your consent — for example, to stop episode alerts or close your account;
• to nominate a person who may exercise these rights for you in case of death or incapacity; and
• to have a grievance about how we handle your data resolved.

Write to info@sgpt.in from the email address you gave us (we may ask you to confirm who you are). If you are not satisfied with our answer to a grievance, you may complain to the Data Protection Board of India.

Children

Some programmes, such as Kanth Path and our courses, are open to children. If an applicant is under 18, the form must be filled in by — or with the consent of — a parent or lawful guardian, and we may contact the parent or guardian to confirm that consent. We use a child’s data only for the programme applied for, never for tracking or advertising. If you believe a child’s data reached us without that consent, write to us and we will delete it.

Other websites

The website links to the trust’s other services and to outside websites. Their own privacy notices apply there, and we are not responsible for the practices of websites we do not run. See also our Terms of Use and Disclaimer.

Changes to this policy

We will update this policy when our practices or the law change; the date at the top shows the latest version. If a change affects how we use data you have already given us, we will tell you before it applies.
